Confirmations

All bookings must be made with students’ full documentation. DCE will confirm acceptance of all bookings in writing (letter /email / receipt). A booking cannot be considered to have been accepted by DCE unless it has been confirmed.

DCE will provide all services for courses booked with DCE (transfer, accommodation, classes) provided there are adequate students to fill the class. Once a booking has been sent to and confirmed by DCE, the client agrees to be bound by the booking and cancellation conditions of DCE.

Fee Deposits

All fees must be paid in full by the client 14 days before the commencement of the course. DCE cannot guarantee the booking unless full payment has been received before the start of the course/accommodation (whichever is first).

Payment

Payment in full in euro must reach our account 14 days prior to arrival. Services will only be provided once payment has been received. Payment may be made by:

  • Bank draft
  • Pay to Study

All payments should be notified to DCE by email with application form, document copies and payment confirmation from the student. Varying additional fees will be added by banks and credit card providers. Please note all bank charges are the responsibility of the client. DCE will strive to make all such additions known to students before payment.

Prices

All prices are subject to change. Terms of individual special offers and discounts will be sent by the agency or can be found on the DCE website . It is the responsibility of the client to ensure that they are aware of the current price for the course being booked. DCE reserves the right to alter prices at any time of the year should unforeseen circumstances require it.

Cancellations and Refunds: Terms & Conditions

DCE must be notified of cancellations in writing.

Course Cancellation: DCE College requires any student wishing to cancel their course to provide written notification of this cancellation.

Please note that cancellations will incur charges as follows:

  • For cancellations 1-14 days prior to the course start date, 100% of the course fees and accommodation price will be charged;
  • For cancellations 15-30 days prior to the course start date, 45% of course fees and accommodation price will be charged;
  • For cancellations more than 30 days prior to the course start date, 25% of course fees and accommodation price will be charged.
  1. For students who are not successful in obtaining their visa, any application for a refund must be made in writing and must be accompanied by a copy of the rejection letter from the GNIB and a copy of their stamped passport. An administration fee of 25% will be deducted from the refund.
  2. Please note that the rejection letter issued by the GNIB, and all supporting documents, will be evaluated by the college in order to assess grounds for any refund. All original letters issued by the college, along with the student’s GNIB card, must be returned to the administration office before any refund can be processed.
  3. There is no automatic right to a refund of fees if at any time a student changes his/her mind about studying at the college.
  4. If a student withdraws after course commencement, no refund will be given.
  5. If we fail to run the stated course after commencement date, the fees will be refunded in full, without deducting administration fees.
  6. Please note that cancellations will incur charges as listed above.
  7. Students who are found to have provided incorrect information, resulting in their visa being refused, will not be eligible for any form of refund.
  8. While course commencement and completion dates are not expected to change, the college reserves the right to alter any previously detailed dates in order to facilitate or improve the provision of any course and any associated examination. Those changes will in no way affect the other terms and conditions of the student’s contract with the college. Should a change be necessary, the college will not be liable to provide any form of compensation or refund.
  9. Students who have been expelled from the College are not entitled to any form of refund.
  10. Please allow up to 30 working days for refunds to be processed.

Courses are not transferable.

In a case where an individual makes a fraudulent application DCE will make no refund.

Accommodation

Please make sure you provide the exact arrival/departure dates when booking with us. Any change made after a booking is confirmed may cause changes in your accommodation type or even the cancellation of your accommodation.

Health Insurance

DCE holds insurance as required by Irish law. DCE does not provide travel insurance for students. Before arrival all persons participating in DCE programmes should arrange their own insurance against all expenses that might arise due to accident, illness, loss of luggage, personal effects and money.

Damage

Students are liable for any damage caused by them and payment for such damage must be made immediately.

Discipline

All students will be informed of DCE’s code of conduct and behaviour at the commencement of all courses. Violation of DCE’s rules of conduct will result in disciplinary action up to and including immediate expulsion for serious offences. If a student is expelled from DCE there will be no refund or credit under any circumstances.

Bullying and Harassment

DCE will not tolerate any form of bullying or harassment either in person or online against either fellow students or DCE staff. Bullying or harassment will result in disciplinary action and may result in expulsion.

Disputes

Any disputes relating to services provided by DCE must be brought to the attention of the DCE management while the complainant is in Ireland. DCE will not entertain complaints about services provided where these complaints were not reported to DCE at the time. Where necessary, any legal disputes will be heard in the courts of the Republic of Ireland.

Airport Transfer

Airport transfers are not included in any course booking. Airport transfers may be booked as an additional item subject to the current fee. Transfers booked in this way are subject to availability.

For all transfers complete flight information must be sent to DCE at least 5 working days prior to the flight date. If we do not receive complete flight information (date / time / flight number / airline) DCE will not be able to provide the transfer service even if the fee has been paid. Where a transfer cannot be provided due to insufficient information there is no refund of the fee.

Terms and Conditions for Airport Transfers

  • “Shared transfer” – one or more people on the same flight and to/from the same destination in Dublin (or very close destinations at our discretion)
  • You agree to supply us with arrival information (flight date/time/number) at least 5 working days in advance
  • You agree to supply us with departure information (flight date/time/number) at least 5 working days in advance
  • DCE will provide you with a contact number for the driver providing the airport transfer service and with the DCE emergency phone number.
  • Should any circumstances arise that will prevent you from meeting your transfer at the designated time, you must contact either the driver or the DCE emergency number immediately.
  • You agree to wait at the designated area in the arrivals hall of Dublin Airport.
  • You agree to deal only with us (not the host family or any other persons) when discussing transfer arrangements.
  • If a transfer is missed and these conditions are not adhered to there is no refund or credit
  • If a transfer is missed or there is a dispute you agree to the “Airport Transfer Dispute Process”.

Airport Transfer Dispute Process

If a transfer is missed and it is the fault of DCE, we will refund the transfer fee in full when you arrive at our offices. This presupposes that all of our conditions were followed. If a transfer is missed or is disputed, then we require the following documents to investigate the matter:

  • The flight boarding card
  • An original receipt (with the time) from the bus service or taxi that the client used to leave the airport

Photos and Footage

We may use photos or footage taken of students at events or at school for promotional purposes. If you do not wish us to do so, please inform a member of DCE management.

Information

DCE will keep records of students’ personal information and their academic progress.

Holidays

FOR NON-EEA STUDENTS: No holidays will be front-loaded. Students can ask for a maximum of two four-week holidays during their course. In order to book holidays, the students must complete the Holiday Request Form and present it at the DCE office at least 3 weeks prior to the date they intend to start their holidays. A member of staff will approve those holidays and notify the student no later than 3 days after the application is made. Non-EEA students may not take holidays during the first 8 weeks of their course, and may only take holidays if their attendance is 85% or more.

Students studying for 25 weeks are entitled to take 8 weeks’ holiday. We recommend that you take your holiday after the completion of the full course. The reason for this is that it is important for the continuity of your study, so that we can be sure that you complete all the parts of your course.

If you wish to take a holiday during your course, you must complete a Holiday Request form and submit it to Reception staff. The form is available at Reception. Once you have submitted the form, you will receive an email from us within 48 hours, stating whether your request has been approved or not. If you do not receive an email within 48 hours, it is your responsibility to contact the college to enquire about your request.

Rules for taking holidays during the course:

  • You cannot take any holidays in the first 8 weeks of your course.
  • You must have at least 85% attendance.
  • You can only take up to 2 weeks holiday during your course. 
  • Holidays must start on a Monday and finish on a Friday. 

If you have a valid reason for taking extra holidays, such as your health or a medical procedure, you should make an appointment to discuss this prior to filling in the Request Form. Bring as much proof as you can. 

Please do not book any flights or holidays before applying for your holiday and receiving permission. 

Attendance and Absenteeism

All students are required to attend 100% of the course for which they have enrolled, with 85% being acceptable.
Persistent uncertified absence by non-EEA students will result in the student being removed from the register of the course. In this event, DCE will issue a letter about this situation to both the student and the GNIB office.

If a student is absent due to illness they must inform the school by e-mailing the administration staff of the school on the first and each subsequent day of absence. A doctor’s cert must be presented to the administration on the first day of return to class and a record of such will be made in the student’s file. Failure to produce a valid medical cert explaining absenteeism will result in the commencement of disciplinary procedures outlined below.
In the case of non-EEA visa students, when a student has 25% or more uncertified absence in the first six weeks of their programme, DCE staff will contact both the student and the GNIB office.

Lateness Policy

All students are required to arrive on time for class and to remain in class until the end of that class. Students who arrive more than 15 minutes late for class or who leave the class more than 15 minutes before the end of class will be marked absent for the relevant half of that class. Students who arrive more than 15 minutes late for class will not be allowed to join the class until the break.

Policies and Procedures in the Case of Student Disciplinary Action and Expulsion

Attendance is a condition of your student visa. If you do not attend your classes, you may lose your permission to study and work in Ireland.
All students are required to maintain a minimum attendance rate of 85%. If your attendance falls below this requirement, disciplinary action will be taken, which may result in your having your enrollment terminated.

  • If attendance falls below 85%, you will receive a verbal warning from the Director of Studies.
  • If attendance does not improve. or falls below 85% a second time, you will receive a written warning.
  • If attendance does not improve. or falls below 85%, a third time, you will receive a final written warning.
  • If attendance does not improve following this final warning, you may be expelled unless you can show a valid reason for non-attendance.

We are required to inform GNIB of any student who misses 25% of their classes in the first 6 weeks of their course  and any student who cannot finish the course with 85%.

In case of expulsion, notification will be sent to the GNIB. This may affect your permission to live and study in Ireland.

Students may appeal an expulsion by contacting us within 5 days with any documentation justifying their absence or proving extenuating circumstances. Appeals will be considered on a case-by-case basis by the management.
